1. General terms
These terms apply to EC Sportz AFL Academy registrations, memberships, camps, clinics, online resources and related services. A parent or legal guardian must complete enrolment for a participant under 18.
- EC Sportz may accept or decline an enrolment where a program is full, unsuitable, unsafe, outside the participant’s age group or support needs cannot reasonably be met.
- Information provided during registration must be accurate and kept up to date.
- Program descriptions, schedules and venues may change where reasonably necessary. Material changes will be communicated to affected families.
- Nothing in these terms excludes rights or remedies that cannot lawfully be excluded, including applicable Australian Consumer Law rights.
2. Health, injuries and safe participation
AFL training involves running, jumping, kicking, contact preparation and other physical activity. Participants must follow coach instructions, use equipment appropriately and report pain, injury, illness or unsafe conditions immediately.
- Parents and guardians must disclose relevant medical conditions, allergies, injuries, disability-related needs, medications and emergency information before participation.
- EC Sportz may request medical clearance where it is reasonably required for safe participation.
- Coaches may modify or stop participation where they reasonably believe continuing presents a safety risk.
- Parents remain responsible for determining whether general online drills or training information are appropriate outside supervised Academy sessions.
3. Child safety, inclusion and behaviour
EC Sportz is committed to a child-safe, inclusive and respectful environment. Bullying, harassment, discrimination, sexual misconduct, intimidation, violence, sideline abuse and retaliation against a person who raises a concern are not accepted.
- Players, parents, spectators, staff and volunteers must behave respectfully and follow reasonable safety and conduct directions.
- Reasonable adjustments will be considered in consultation with the family, participant and relevant professionals where appropriate.
- EC Sportz may issue a warning, require a person to leave, suspend participation or end enrolment where behaviour creates a safety or welfare risk or seriously breaches expected conduct.
- Child-safety concerns may need to be referred to police, child-protection or other appropriate authorities. Confidentiality cannot be promised where reporting or protective action is required.
4. Payments, cancellations and refunds
Fees, payment frequency, inclusions and minimum commitment will be shown before enrolment. Weekly memberships may use recurring direct debit; block programs may be paid upfront.
- Payment must be made by the due date. Failed-payment fees may apply only where disclosed by EC Sportz or the payment provider.
- Cancellation, pause and notice rules for a specific membership will be provided at checkout or in the enrolment agreement.
- Change-of-mind refunds are not automatic once a place has been confirmed and program costs have been committed, subject to any stated cooling-off or cancellation right.
- If EC Sportz cancels a paid session and cannot offer a reasonable replacement, an appropriate credit, reschedule or refund will be considered.
- These terms do not limit any refund or other remedy available under Australian Consumer Law.
5. Attendance, missed sessions and program changes
- Families should notify EC Sportz as early as possible when a player cannot attend.
- Missed-session credits or make-ups are not guaranteed unless included in the relevant program terms.
- Sessions may be changed, relocated, postponed or cancelled because of weather, ground closure, safety, coach illness, competition schedules or circumstances outside reasonable control.
- Players must be signed in and collected in accordance with communicated supervision arrangements. Parents must not assume supervision begins before, or continues after, the stated session window.
6. Photos, video and social media
Photo and video consent is separate from participation consent. EC Sportz may use approved images or footage for coaching feedback, Academy promotion, websites or social media only in line with the consent given by the participant’s parent or guardian.
- Consent may be declined without excluding a player from the Academy.
- Families may withdraw future promotional consent by contacting EC Sportz. Material already lawfully published may take reasonable time to remove and may not be fully retrievable where others have shared it.
- Parents and spectators must not post images of other children without appropriate permission.
7. Privacy and sensitive information
EC Sportz collects only the information reasonably required to manage enquiries, enrolment, payment, participation, safety and communication. The initial public enquiry form is deliberately limited and does not request a home address, emergency-contact details or health information.
- If an enquiry progresses to enrolment, EC Sportz may securely request additional emergency, health, disability or participation information required for safe service delivery.
- Information is accessible only to authorised people who need it for administration, coaching, safety, legal obligations or service delivery. Limited information may be provided to contracted technology providers that support secure hosting, records and essential communications.
- Health and disability information is sensitive and should only be provided when requested and relevant to safe participation or support. Do not email detailed medical records or place them in the complaints form.
- Information is retained only while reasonably required for the enquiry, service delivery, safety, insurance, dispute handling or legal and accounting obligations. It is then securely deleted or de-identified where appropriate.
- Parents, guardians and adult participants may request access to, correction of or deletion of information by contacting info@ecsportz.com.au. Some records may need to be retained where required by law or legitimate safety and business obligations.
- EC Sportz will assess suspected data incidents promptly and take containment, notification and remedial action where required.
- Marketing consent is optional and separate from essential service communications.
8. Academy content and intellectual property
EC Sportz owns or licenses its Academy branding, curriculum, drills, training plans, written resources, videos, graphics and website content. A membership gives the participant a limited personal right to use supplied materials for their own training. Materials must not be copied, resold, republished or used to run another program without written permission.
9. Complaints and feedback
Complaints will be taken seriously, handled as fairly and confidentially as reasonably possible, and assessed without retaliation. EC Sportz may contact the complainant for more information and may share relevant details with people who need to respond or investigate.

- EC Sportz will acknowledge the complaint and assess urgency, safety and conflicts of interest.
- The appropriate person will review the information, speak with relevant parties where fair and necessary, and advise the complainant of the outcome or next step.
- Serious child-safety, criminal, discrimination or integrity concerns may be referred externally.
